The HR assistant will be responsible for carrying out daily administrative tasks and providing support to the HR Manager on various aspects across the full HR spectrum. This is a Two(2) months contract to start immediately. JOB DESCRIPTION Assist with on-boarding and off-boarding of staff. Assist with all printing needs for HR and Compliance related documentation Assist with setting up interviews for various vacancies across all business units as and when required. Conduct background checks, and reference checks on all short-listed candidates in accordance with Company policy. Assist with fingerprint and criminal checks using MiE and ensure relevant compliance related requirements are adhered to. Update and maintain records for recruitment tracking purposes on a daily basis and provide feedback to HR manager on progress. Contacting successful candidates informing them of their start dates for training. Assist with on-boarding of new trainees and prepare the training room and relevant documentation including registers to be signed. Assist with printing, collating, preparing training materials/ welcome packs for all new trainees. Invigilate trainees undergoing product assessments as and when required. Ensure all documentation and staff files are prepared in accordance with HR policy and procedure and ensure documentation is signed and ready to be filed. Collect all relevant salary information forms and provide details to HR manager for payroll processing. Conduct regular file audits for both the HR and Compliance department; Provide feedback to HR Manager regarding completion of all relevant Compliance documentation. Assist with Compliance related queries for staff on a daily basis. Assist with general filing duties i.e. sick notes, warnings, performance management documents etc. Assist with administration pertaining to Disciplinary Hearings/ minutes thereof. Check that staff registers are updated daily/ leave is logged on HRIS and provide feedback to HR manager regarding absenteeism on a daily and weekly basis. Assist with basic monthly HR reports as and when needed; Diarise meetings/events for the HR manager and ensure booking of venues with all relevant stakeholders; Assist with off-boarding of staff and filing of relevant documentation including resignation letters/ termination letters/ off-boarding forms etc. Relieve receptionist as and when required; Conduct ad-hoc tasks as and when required. Candidate Requirements MINIMUM REQUIREMENTS Matric Relevant HR qualification - NQF 6 (essential) Computer literacy (Outlook, Word, Excel, Power point) Previous experience in similar role (preferred) SKILLS, ABILITIES AND ATTRIBUTES Ability to interact with all stakeholders within the business Ability to work under pressure Ability to check work accurately Excellent interpersonal skills Good communication skills (verbal and written) Strong administration skills Able to show initiative Be a champion of Company values Persistence Able to maintain high level of confidentiality Report writing skills This position reports to: HR Manager Companies may expire jobs at their own discretion.
